Simple, Efficient eProcurement

Companies looking to automate their purchasing processes will benefit from a new eProcurement web-site called e-z-quote. e-z-quote is an intuitive web–based eProcurement system that has stripped the online supply chain process to the bare bones – delivering an eProcurement solution that’s easy to use and more importantly, brings reduced prices paid for indirect goods and services; improved contract compliance; shortened procurement and fulfilment cycles and reduced administration costs.


e-z-quote allows buyers to submit Requests for Quotes (RFQs) to multiple pre-qualified suppliers with just a few clicks.


When sending RFQs, buyers can elect to remain anonymous or to reveal their identity. Word documents, images, etc are sent to all participating suppliers (optional) with you RFQs allowing for simple transfer of product and service specifications. In addition, the buyer controls the quoting process, choosing to show or hide other suppliers quotes from participating suppliers thereby creating reverse auction or closed tender RFQs.


When a buyer submits an RFQ, an e-mail is sent to each pre-qualified Supplier. On receipt of the e-mail, each Supplier Signs In to e-z-quote and quotes.


Together with their quote amount, each supplier is able to add notes or a message to their quote. This facility is used to list unit prices, give guarantee or warrantee information, delivery costs, etc


Suppliers are able to change their quote at any time and as many times as they like prior to expiry of the RFQ. If the buyer has allowed the suppliers to see each other's quotes, they may change their quote each time they see that they have been ‘out quoted’ by another supplier. This process (known as a reverse auction) drives the price down.


Each RFQ has it’s own private message board. The message board and all messages are accessible to the buyer and all the participating suppliers, although identities are withheld. The message board allows the participating suppliers to ask the buyer for additional information on the items required.


Supplier quotes are tabulated for the buyer allowing for easy cost comparison. To accept a quote, the buyer simply clicks the 'Accept Quote' button next to the quote they want to accept. Next, the buyer enters an order number and a message to the supplier (optional).


The selected Supplier is notified by e-mail of the buyer’s acceptance of their quote and at this point is given the buyer’s contact details (if the RFQ was anonymous).


Once an RFQ is concluded, it is automatically moved to the RFQ Archive for future reference.
